How to Calculate Hours Worked
To calculate hours worked: (1) Record your start time in HH:MM format. (2) Record your end time. (3) Subtract any unpaid break time (lunch, rest breaks). (4) The result is your net hours worked. For example: 8:00 AM to 5:00 PM minus a 30-minute lunch equals 8.5 hours worked.
How to Calculate Hours Worked Across Midnight
If your shift crosses midnight — for example, starting at 10:00 PM and ending at 6:00 AM — simply add 24 hours to the end time before subtracting. 6:00 AM + 24 hours = 30:00, minus 22:00 (10:00 PM) = 8 hours worked.
Converting Hours to Decimal
Many payroll systems require decimal hours instead of hours and minutes. To convert, divide the minutes by 60. For example, 8 hours 30 minutes = 8 + (30/60) = 8.5 decimal hours. This makes payroll calculations and billing simpler.
Common Work Hour Examples
8:00 AM to 4:00 PM with a 30-minute lunch = 7.5 hours. 9:00 AM to 5:30 PM with a 1-hour lunch = 7.5 hours. 6:00 AM to 2:00 PM with no lunch = 8.0 hours. 7:30 AM to 4:00 PM with a 30-minute lunch = 8.0 hours. These examples cover the most common work schedules.
